Events Manager (Maternity Cover)

The successful candidate will be responsible for selling the venue as a Private Hire destination, liaising with clients and managing the delivery of Private Hire events.

Role details:
  • Full time
  • Fixed term: January 2025 to end of February 2026
Role responsibilities:
  • Generate revenue through the private hire of the cinema and associated available spaces, retail, catering and other available goods, offers or services, guided by the Private Hire yearly revenue forecast.
  • To keep the Private Hire Tracker updated and work with the Head of Programming to confirm available dates and times for Private Hire events.
  • To adhere to the cinema premises license and ensure all events comply with this and all health and safety requirements, through planning and executing events.
  • To source new clients, initiate contact with potential clients, plan, organise and operationally manage Private Hire events with cinema resources from the Head of Operations, where necessary to support ticketed events and Festivals.
  • To be available to carry out site visits with potential clients and discuss Private Hire opportunities as well as client meetings in person and online.
  • Carry out due diligence checks on potential and existing clients and their content to ensure both are reputable and are in keeping with the ethics and standards of the cinema and the University of Westminster, to not bring either into disrepute.
  • To be available to carry out Private Hire event rehearsals, checks and testing with or without clients, with the help of the cinema technical team and advise clients on event operations based on the experience of the cinema site.
  • To manage and develop the catering and bar offers for Private Hire clients and also place orders for clients, working with the Retail Manager.
  • Be responsible for administration of Private Hire area, such as emails, contacts, event briefs, rate cards, catering menu, branding information and promotional materials; ensuring they are all updated, working alongside the Retail Manager and Head of Marketing and Communications.
  • Responsible for setting up new clients on the University system, quoting costs, creating contracts, invoicing clients and following up for non-payment with the help of the University Finance team.
Role requirements:
Training and Experience
  • Proven experience in successfully organising events.
  • Skilled negotiator to deliver sales revenue.
  • Demonstrate the ability to work effectively and flexibly as a member of a team, to high professional standards.
  • Competent IT skills including knowledge and use of a range of Microsoft Office packages.
  • Experience of working in a cinema or the film industry (desirable).
Aptitude and abilities
  • A desire to work as part of a proactive team, the ideal candidate will be personable and friendly.
  • Ability to prioritise a busy workload.
  • Excellent verbal and written communication skills to provide high-level customer service and maintain written records.
  • Ability to work flexibly and respond to tight deadlines.
  • Ability to build effective relationships at all levels.
  • Ability to take initiative and to make decisions, as required .

The interview process for the role of Events Manager maternity cover will consist of:
1) A video call interview with Head of Operations and Events Manager at Regent Street Cinema. This will give candidates the opportunity to ask any questions about the role (taking place in November and December).
2) Candidates selected to move forward in the recruitment process will attend an in-person interview with the Head of Operations and the Events Manager of Regent Street Cinema (taking place in December).
